Apprentice Office Administrator

About the Role
We are looking for an enthusiastic Office Administrator Apprentice to join our vibrant and friendly team. You will be supported through your qualification with real experience to complement your learning. This position requires attention to detail, excellent organizational skills, and the ability to work in a fast-paced office environment.
Main duties & responsibilities include: -
- Establish, develop and manage relationships with all appropriate parties, delivering exceptional client service.
- Develop and maintain internal ‘team’ ethos through colleague respect, interaction, support and personal development assistance.
- Assist in providing administrative support to the management team and ensure all tasks are completed to a high standard.
- Greet visitors upon arrival in the building and arrange for the staff to collect them from reception or bring them to the relevant meeting room as directed.
- Manage post and deliveries into the premises and ensure all are logged efficiently and those responsible notified of incoming deliveries.
- Answer phone in a professional manner, distribute calls and take messages.
- Assist to log and process all holiday and leave requests, including clash management.
- Manage general company email inbox and phone inquiries.
- Assist to manage all staff and operatives travel and accommodation bookings in line with company policy.
- Supplier account reconciliation, analysis and reporting on weekly basis
- Spend analysis and reconciliation of receipts and company credit card statement on weekly basis.
- Collating and submitting data for reports when required.
- Assisting in management of day-to-day office activities e.g. IT, Office / stationary orders
- Updating databases and forecasts for various forms of data
- Undertake PO administration tasks: - placing orders on sage, receipting orders on completion, compiling delivery tickets / order acknowledgements, PO’s and sign off packages to enable payment processing.
- Assisting with stock an inventory management within warehouse and on sage system
- Scan, print and file incoming and outgoing documents, ensuring they are properly organised and easy to access.
- Raising Purchase Order’s on sage system, processing invoices and consolidating expenses
- Liaise with management and other stakeholders of Johnston Fitout Group for providing general day to day administration and clerical support.
- Ensure continuation of study, development of academic and practical skills and qualifications
- Establish continuous professional development plan, short medium and long term to enable JSF (UK) Limited to support and develop your personal and professional aspirations.
- Any other ad-hoc duties as assigned.
Successful completion of the apprenticeship could lead to a higher-level apprenticeship or full-time employment for the right candidate.
About the Training
Training will be at Doncaster College where you will access a wide range of facilities on offer.
- Day release
- You will undertake the Business Administrator Standard.
- Business administrator / Institute for Apprenticeships and Technical Education
- You will undertake Functional Skills for English and/or Maths if needed
You will undertake both on and off-the-job training by a team of industry qualified professionals to give you the best skills, knowledge and experience that will help you become an Administrator of the future!
